How to Compare Quotes Without Missing Key Costs

Comparing Automate 2027 Show booth rental quotes can be difficult because vendors do not always define scope the same way. A lower exhibit estimate may exclude freight, drayage, installation labor, electrical service, AV support, or project management. Another proposal may bundle several of those services into one price.

The only reliable comparison is based on total expected show cost, scope, and execution risk. Use this checklist to normalize proposals before selecting an exhibit partner.

Start with an identical Automate 2027 booth brief

Every bidder should receive the same requirements. Otherwise, you may be comparing different exhibits rather than different prices.

Include:

  • Booth dimensions and configuration
  • Brand and campaign objectives
  • Expected number of demo stations
  • Equipment dimensions, weights, and operating requirements
  • Electrical, internet, compressed air, or other utility needs
  • AV equipment and content requirements
  • Storage, meeting, hospitality, and lead capture needs
  • Hanging-sign or rigging requirements
  • Desired flooring, lighting, graphics, and finishes
  • Installation and dismantle expectations
  • Target budget and approval schedule
  • Potential reuse at other shows or in different footprints

Automation exhibits often need to support equipment demonstrations without obstructing sightlines or attendee flow. Ask each bidder to explain how the proposed layout handles demo visibility, safety clearances, queues, staff movement, and qualified conversations.

Costs that frequently sit outside the booth rental price

A booth rental usually represents only part of the total exhibit budget. Confirm whether these expenses will be invoiced by the exhibit partner, show contractor, venue, carrier, or another supplier.

Show services and utilities

Electrical power, internet, compressed air, plumbing, cleaning, rigging, and security are commonly ordered separately. Automation demos can increase these costs when equipment needs dedicated circuits, wired connectivity, overhead support, or technical commissioning.

Request an equipment utility schedule before approving the layout. It should identify each connection, location, load, service period, and responsible vendor.

Freight and drayage

Freight is transportation to and from the event. Drayage, also called material handling, covers movement between the receiving point and booth space. They are different charges.

Ask vendors to state estimated shipment weight, number of crates or pallets, shipping origin, advance-warehouse assumptions, and return destination. A lightweight rental structure may also reduce related freight and handling costs, so compare weight as well as rental price.

Labor and supervision

Installation estimates can change because of overtime schedules, crew minimums, delays, incomplete shipments, or complex AV and demo integration. Determine whether the quote assumes straight-time labor and who pays if installation takes longer.

Also confirm whether dismantle labor, outbound paperwork, carrier coordination, and post-show inspection are included.

Compare assumptions, not just totals

Require each bidder to provide a written assumptions and exclusions section. Pay particular attention to:

  1. Allowances: What happens if actual costs exceed the allowance?
  2. Change orders: Which revisions trigger added design, production, or labor fees?
  3. Deadlines: When do rush production, expedited freight, or late show-service rates begin?
  4. Damage terms: Who is responsible for normal wear, accidental damage, or missing rental components?
  5. Cancellation terms: Which deposits or committed costs are refundable?
  6. On-site responsibility: Who has authority to solve installation, electrical, AV, or freight problems?

A complete quote should make financial responsibility clear before the exhibit reaches the show floor.

Evaluate value and execution risk

The lowest quote is not necessarily the lowest-cost option. Score proposals using weighted criteria such as:

  • Total expected cost: 30%
  • Demo functionality and attendee flow: 20%
  • Scope completeness and transparency: 15%
  • Project management and on-site support: 15%
  • Design quality and brand alignment: 10%
  • Flexibility for future shows: 10%

Adjust the weighting to match your priorities. A product-launch team may emphasize demo integration, while a multi-show program may place more value on modularity and footprint flexibility.

For broader budgeting guidance, review ProExhibits’ trade show booth cost breakdown and trade show budget template. The trade show booth rental guide also explains rental scope, timelines, and rental-versus-purchase considerations.

Request a scope-normalized proposal

ProExhibits plans custom, rental, modular, and hybrid exhibits around event goals, attendee flow, demonstrations, lead capture, logistics, and measurable outcomes. Its support can span design, fabrication, shipping, installation and dismantle, storage, and event logistics.

Request a consultation to discuss your Automate 2027 footprint, equipment, demo requirements, timeline, budget, and preferred build approach. Ask for a proposal that separates confirmed costs, estimated show services, allowances, exclusions, and optional upgrades so your team can make a defensible comparison.
